Project Administrator (International Team)

Overview:

WTI is an internationally recognized, family-owned, design and engineering firm specializing in commercial aquatic venues such as aquatic centers, sport swimming pools and waterparks. We are seeking an administrative professional to join our International Project Team in Beaver Dam, WI., responsible for activities that contribute to timely, high quality and efficient project execution, working closely with internal and client project team members to carry out coordination and support duties.

Primary Responsibilities:

The following job functions are typical of the position but are not all-encompassing.

  • Timely processing and distribution of all relevant project information, such as meeting notes, drawing files, RFIs, submittals, field reports, and review comments, using project specific delivery processes (using Aconex, Newforma, BIM 360 Docs or equivalent).
  • Accurate document control (typically drawings and specifications) using a variety of client platforms.
  • Communicate client deadline information to the team, maintain internal project milestone schedule.
  • Maintains up-to-date project data files including electronic information and hardcopy versions (as needed) according to WTI standards.
  • Provide administrative support for project Specifications such as proof reading and Word document formatting.
  • Adheres to all project support related standards, processes work plans and established project delivery standards.
  • Provides general office support for the project managers and other WTI staff as needed.
  • Assumes responsibility for other duties assigned or needed.
Required Qualifications and Skills:
  • Minimum of an Associate‚Äôs degree is required, with a preference for a business focused education.
  • Two years of experience in a professional office environment. Previous experience working in the professional services industry is preferred.
  • Proficiency in Microsoft Office products. Ability to format documents for a professional look consistent with WTI and client standards.
  • General understanding of project management is preferred.
  • Experience with Newforma, Aconex, and BIM 360 Docs is preferred.
  • Demonstrated ability to build positive, professional relationships.
  • Demonstrated flexibility and willingness to work to meet deadlines as required by client demands, expected and unexpected.
  • Excellent communication, customer service and organizational skills.
  • Demonstrated ability to effectively prioritize multiple tasks and deadlines and possess excellent follow through skills.
  • Demonstrated ability to work effectively within a team environment.
