Project Administrator
Overview
WTI is an internationally recognized, family-owned design and engineering firm specializing in commercial aquatic venues such as waterparks, aquatic centers, and sport swimming pools. We are seeking a highly organized and detail-oriented Project Administrator to join our dynamic team in the specialized field of aquatic design and engineering.

Primary Responsibilities
Construction Administration (CA) Support
- Oversee the intake, tracking, and distribution of key construction documents such as submittals, RFIs, construction bulletins, and ASIs.
- Ensure all materials are properly logged, reviewed, formatted, and uploaded across relevant platforms (Tonic, network drives, Blue Beam, PlanGrid/ACC, etc.) while maintaining up-to-date drawing sets and documentation for project teams.
Project Documentation & Deliverables
- Manage and maintain project document workflows including the updating of WTI’s production calendar, formatting specifications, preparing sealed drawings, and organizing digital files.
- Ensure timely delivery of project documentation by uploading to relevant platforms such as Blue Beam, archiving sessions as needed, and coordinating print and mail items as needed.
Administrative & Team Support
- Provide ongoing support to project managers and team members through meeting coordination, documentation, and communication tasks. Responsibilities may include recording and managing weekly team meetings and coordinating Lunch & Learn sessions with vendors.
- Manage front desk operations, including answering phones, greeting visitors, signing for packages, and directing guests to appropriate staff, ensuring a professional and welcoming office environment.
- Assumes the responsibility of other duties assigned or needed.
Required Qualifications, Knowledge, and Skills
- Associates degree in related field or equivalent experience is preferred.
- Minimum of one year of experience in a professional office environment.
- Previous experience working in the professional services industry, with general understanding of project management in the A&E or construction industries, is preferred.
- Proficiency in Microsoft Office products is required including ability to design and format documents for a professional look consistent with WTI and client standards.
- Excellent communication, customer service, and organizational skills.
- Experience with Bluebeam, Tonic, Aconex, and BIM 360 Docs is preferred.
- Demonstrated ability to build positive, professional relationships and work effectively within a team environment.
- Demonstrated flexibility and willingness to work to meet deadlines as required by client demands, expected and unexpected.
- Demonstrated ability to effectively prioritize multiple tasks and deadlines and possess excellent follow-through skills.
